A sworn translation is an official translation signed and stamped by a sworn translator authorized for the relevant language combination. Its purpose is to certify that the translated text faithfully reproduces the document presented.

What it normally includes

In addition to the main text, the translation identifies visible elements of the original: seals, signatures, letterheads, handwritten notes and, when it forms part of the document, an apostille or legalization. The translator adds the required certification, signature and stamp.

Not every use requires the same type of translation

A public authority, registry, university, notary, court or private organization may request a sworn translation. It is not correct, however, to say that every foreign document always requires one. The language, issuing country, procedure and any available exemptions all matter.

For certain EU public documents, multilingual forms and legalization exemptions may apply. In other cases, a body may accept a co-official language or issue its own instructions. The recipient makes that decision.

How to confirm the requirement before paying

  1. Read the official instructions or request for your exact procedure.
  2. Ask whether a complete translation is required and whether electronic delivery is accepted.
  3. Check separately whether the original needs an apostille, legalization or qualifies for an exemption.
  4. Send the translator every page and formality that you intend to submit.
