Privacy Policy

This policy explains how Sanderlink SIA processes data received through sanderlink.es, email and WhatsApp.

Data controller

Sanderlink SIA, registration 40203391774; privacy contact: sales@sanderlink.com.

Data we may process

We may process your name, email, phone number, procedure details, messages, billing data and files you choose to send, together with essential technical logs.

Minimize information: hide identification numbers and other data not needed for the quote.

Purposes and legal bases

  • Quotes and inquiries: pre-contractual steps requested by you.
  • Translation service: performance of the accepted contract.
  • Billing and legal duties: compliance with applicable obligations.
  • Security and claims: legitimate interests balanced against individual rights.

Sensitive documents

Documents may reveal health, origin, beliefs, family life or criminal information. Access is limited to what is needed for the requested service.

Recipients and providers

Data is not sold or supplied for advertising. Hosting, email, translation professionals and public authorities may receive necessary access under appropriate obligations.

International transfers

Where a provider or professional is outside the EEA, an applicable transfer mechanism and safeguards are used.

Retention

Quote files, project records and billing data are kept only for the periods needed for the stated purposes and legal duties.

Your rights

You may request access, correction, deletion, restriction, portability or objection, and may complain to the competent supervisory authority.

Security

Reasonable technical and organizational measures are used, but no internet transmission is risk-free.

Updates

This policy may be updated when services, providers or legal requirements change.

  • Controller: Sanderlink SIA
  • Registered office: Terbatas iela 14-3, Rīga
  • Privacy contact: sales@sanderlink.com
  • Hosting and technical service providers where necessary.
  • Translation professionals subject to confidentiality obligations.
  • Public authorities when a valid legal obligation applies.

For a quote, you may conceal identification numbers, private addresses and other details that are not needed to assess the language, page count, seals and complexity. The final version supplied for translation must be complete. If a file contains another person’s data, the sender confirms that they are authorized to provide it.

Access to project material is limited to staff and professionals who need it for coordination, translation, revision or delivery. Before a document is assigned externally, the relevant professional is subject to confidentiality and data-protection obligations. We do not use submitted documents for advertising, profiling or automated decisions about the people named in them.

Retention depends on the stage and legal purpose: unanswered or rejected quote files are removed under the published retention criteria; customer and billing records may be kept for contractual, accounting, tax and claims periods. Security logs may be retained for a limited period to investigate abuse. A valid deletion request does not override a legal duty to retain specific records.

To exercise a right, write to the privacy contact. We may request reasonable information to verify identity before releasing personal data. You may also complain to the Spanish Data Protection Agency, the Latvian supervisory authority or another competent authority.
